Dorset Women's Showcase Day
Commercial Partnership Terms & Conditions
1. Introduction
These Terms & Conditions govern all commercial partnerships, sponsorships, exhibition spaces and associated commercial opportunities relating to the Dorset Women's Showcase Day ("the Event"), organised by Dorset Cricket ("the Organiser").
By purchasing, reserving or participating in any commercial opportunity associated with the Event, the Partner confirms that they have read, understood and accepted these Terms & Conditions.
2. Event Details
The Organiser reserves the right to amend the date, venue, timetable, activities, entertainment, speakers, players, layout or programme where reasonably necessary to ensure the safe and successful delivery of the Event.
Such amendments shall not constitute grounds for cancellation or refund.
3. Partnership Confirmation
Commercial opportunities are allocated on a first-come, first-served basis.
A partnership is only confirmed when:

Payment has been received in full (unless otherwise agreed in writing).
-
Dorset Cricket has confirmed acceptance of the booking.
-
The Partner has accepted these Terms & Conditions.
The Organiser reserves the right to decline any application without providing a reason where it believes the partnership is not aligned with the aims or values of the Event.
4. Payment Terms
Unless otherwise agreed:
-
Full payment is required to secure all sponsorship opportunities.
-
Payment deadlines must be met.
-
Failure to make payment may result in the opportunity being released for resale.
-
VAT will be charged where applicable.
5. Cancellation by the Partner
Should the Partner cancel:
More than 60 days before the Event:
-
75% refund of fees paid.
Between 30-60 days:
-
50% refund.
Between 14-30 days:
-
25% refund.
Less than 14 days before the Event:
-
No refund.
Where Dorset Cricket is able to resell the opportunity, a discretionary refund may be offered, less any administration costs incurred.
6. Cancellation or Postponement by Dorset Cricket
Should the Event require postponement due to circumstances outside the Organiser's reasonable control (including but not limited to severe weather, public health restrictions, venue issues or force majeure):
The Organiser may:

Reschedule the Event.
-
Transfer sponsorship to the revised date.
-
Offer equivalent commercial value through alternative benefits.
Refunds will only be considered where the Event is cancelled entirely and no reasonable alternative benefits can be provided.
7. Adverse Weather
The Event will proceed wherever it is safe to do so.
Should weather impact cricket activities:
-
Skills sessions may be amended.
-
Entertainment may be relocated.
-
Matches may be shortened.
-
Activities may be revised.
Such operational changes do not constitute cancellation.
Refunds will not be issued solely due to weather-related programme changes.
8. Sponsorship Benefits
The Organiser will use reasonable endeavours to deliver all benefits described within each sponsorship package.
Where circumstances require changes, Dorset Cricket reserves the right to substitute equivalent promotional opportunities of comparable value.
9. Artwork and Branding
Partners are responsible for supplying:

Logos
-
Artwork
-
Advertisements
-
Promotional copy
by the published deadlines.
Late submissions cannot be guaranteed inclusion within:
-
Printed programmes
-
Event signage
-
Digital marketing
-
Social media
-
Press materials
All branding remains subject to approval by Dorset Cricket.
10. Exhibition Spaces
Exhibitors are responsible for:
-
Their own display equipment.
-
Gazebos.
-
Tables and chairs unless otherwise agreed.
-
Staffing.
-
Stock.
-
Insurance.
-
Safe operation of their stand.
Power supplies are only available where pre-booked.
The Organiser reserves the right to relocate exhibition spaces if operational requirements demand.
11. Health & Safety
Partners must:
-
Comply with all Event health and safety instructions.
-
Ensure their stand is safely constructed.
-
Keep walkways clear.
-
Follow emergency procedures.
-
Cooperate with Event staff.
Unsafe equipment or activities may be removed immediately.
12. Safeguarding
The Dorset Women's Showcase Day is a family-focused event attended by children and young people.
Partners agree to:
-
Support the safeguarding principles of Dorset Cricket.
-
Behave appropriately towards children and vulnerable adults.
-
Follow any safeguarding instructions provided.
-
Never place themselves in situations that could compromise safeguarding standards.
-
Report any safeguarding concerns immediately to the Event Safeguarding Officer.
Partners delivering activities involving children may be required to provide appropriate safeguarding documentation or evidence of DBS clearance where applicable.
13. Equality, Diversity and Inclusion
The Event celebrates participation, equality and inclusion.
Partners agree to:

Promote an inclusive environment.
-
Treat all attendees with dignity and respect.
-
Avoid discriminatory behaviour.
-
Ensure promotional materials reflect these values.
The Organiser reserves the right to terminate partnerships where behaviour is inconsistent with these principles.
14. Spirit of the Event
The Women's Showcase Day exists to inspire women and girls, celebrate cricket and strengthen communities.
Partners agree to conduct themselves in a manner consistent with:

Respect

Inclusion
-
Collaboration
-
Positive promotion
-
Family-friendly engagement
The Organiser reserves the right to remove any organisation whose behaviour, messaging or activities are considered inconsistent with the spirit or reputation of the Event.
15. Sales and Promotions
Retail sales are permitted only where agreed in advance.
Food, drink or regulated products may only be sold with prior written approval.
Partners must comply with all relevant legislation.
16. Photography and Media
The Event will be photographed and filmed.
Partners acknowledge that:

Images may include exhibition stands.
-
Images may be used in future promotional materials.
-
Dorset Cricket retains ownership of official Event imagery.
17. Intellectual Property
The Dorset Cricket name, logo and Women's Showcase Day branding remain the property of Dorset Cricket.
Partners may only use Event branding following written approval.
18. Insurance
Partners are responsible for maintaining appropriate:

Public Liability Insurance.
-
Employers' Liability Insurance where applicable.
-
Product Liability Insurance where applicable.
Evidence may be requested.
19. Liability
The Organiser accepts no responsibility for:
-
Loss of stock.
-
Theft.
-
Damage to equipment.
-
Loss of earnings.
-
Business interruption.
Except where caused by the negligence of Dorset Cricket.
Partners remain responsible for their own property at all times.
20. Force Majeure
Neither party shall be liable for failure to perform obligations where prevented by events beyond reasonable control including:

Severe weather
-
Flooding
-
Fire
-
Pandemic
-
Government restrictions
-
Industrial action
-
Acts of terrorism
-
Utility failures
21. Data Protection
Personal information will be processed in accordance with Dorset Cricket's Privacy Policy and applicable UK data protection legislation.
22. Governing Law
These Terms & Conditions shall be governed by the laws of England and Wales.
23. Acceptance
By completing payment, submitting an enquiry or entering into a sponsorship agreement, the Partner confirms that they:

Have read these Terms & Conditions.

Agree to comply with them.
-
Accept the Event Terms & Conditions published on the Dorset Women's Showcase Day website.
-
Understand that Dorset Cricket reserves the right to make reasonable operational decisions in the best interests of the Event and its participants.
The Organiser's decision on all operational matters relating to the Event shall be final.
